Pro Tips: Adding a Modifier to a CPT Code
Welcome to the first installment in our new series, in which we show you how to use some of the lesser-known features of BreezyNotes EHR. These pro tips will help you maximize the time, money and sanity you save by using BreezyNotes EHR.
In mental health, the 90837 CPT code is the standard, but there are times where you need to modify the code. You do this with, what else, a modifier.
For instance, if you do two sessions with a client in one day, you may need to add Modifier 59.
But, you also may need to do this on a regular basis, like when you need a modifier for an authorization (i.e. an Employer Assistance Program).
Here’s how you add modifiers for both of those scenarios:
Add a Modifier to a Single Encounter
Once you are ready to bill, make sure you have the correct client and encounter selected (up in the header under “Encounter History” next to “Selected Encounter”). If you just saved the form for the encounter that you want to modify, you are in the right place.
- In the encounter summary, under the encounter’s title, click “Fee Sheet.”
- Add the modifier number in the text box under “Modifier” in the CPT Code row.
- Update the amount in the price column for what you charge for these modified visits.
- Click “Update.”
Now, you can submit the claim with the modifier attached to the CPT code.
Add a Recurring Modifier for Authorizations
When you’re creating a new client:
- On the “Search or Add Client” page, check the “Insurance” box.
- Find the “Authorization: (By Insurance Co.)” section.
- In the “Modifier” box, enter the modifier you’d like added to every claim.
- Finish entering the client’s information and then create the new client.
If you’re adding the recurring modifier to an existing client:
- Navigate to the client summary.
- Next to the insurance tab, click “Edit”.
- Find the “Authorization: (By Insurance Co.)” section.
- In the “Modifier” box, enter the modifier you’d like added to every claim.
- Near the top of the page, click “Save”.
Note About the HN Modifier for Supervision
For Supervisors and Supervisees, you do not need to add an HN modifier to encounters. BreezyNotes EHR will automatically do this for you on the claims that are generated by Supervisees when they have a Supervisor selected in her/his User Profile and submit it under the Supervisor’s information.
