Enter a Client Refund

Sometimes a client overpays for a session. When you need to reimburse the client, you can issue a refund by utilizing our takeback column:

  1. Go to Payments and click on the “Batch” tab
  2. Enter the amount of the refund as a negative number in the “Payment Amount Field”
  3. Enter the Check Number (We recommend the original check number with “REFUND-” before or after it to make it easier to find later).
  4. Choose Client in the “Paying Entity” dropdown
  5. Type the client’s name in the “Payment From” field
  6. Click Allocate
  7. Type in the Client’s name again in the blank “Client” field
  8. Find the DOS requiring a refund
  9. Enter the amount of the refund in the Takeback column as a positive number.
  10. Click Finish Payments
