What to do with a Failed Claim in Office Ally

If you get an email from Office Ally indicating that a claim has failed, there are a few steps you can take.

First – log in to Office Ally. Then:

 

1. Get  File Summary
This let’s you download a text file so you can see details of the submission Office Ally received from BreezyNotes including accepted claims, rejected claims and reasons for the rejection.

  • Click the “Download File Summary” link under Download
  • Click on the date that corresponds with when you got the failure notification
  • Click the most recent claim that has a number in the “Failed” column to download a text report

 

2. View the Claims History

Similarly, you can go to “View Claim History” to see a basic report as the claim travels to the payer and back. It will also show dates and times of submission, payer response and reasons for failure without having to download anything.

  • Click the “View Claim History” link under Reports
  • Click on the date that corresponds with when you got the failure notification
  • Click the most recent claim that has a number in the “Failed” column
  • Click “CH” to see the Claim History

 

3. Inventory Reporting
Inventory reporting allows you to see all your claims as they would look on a HCFA. Here you can fix and resubmit claims.

VERY IMPORTANT: It is better to fix and resubmit claims in BreezyNotes whenever possible to ensure that what the insurance company has on file matches exactly what is on file in BreezyNotes. Follow Steps 1-3 under “Resubmitting Claims” on our Support Page to do this properly.

  • Click the “Inventory Reporting” link under Reports
  • Enter in criteria to search all claims you’ve submitted over a 60-day period.
    Quick Tip: The Patient Account number we submit is a combination of the Client ID and the Encounter Number. Using this to sort makes finding claims very easy.
  • Click Search
  • You can click on the linked part of a rejected claim for details on why the claim was rejected as well as look at the actual HCFA data that is being sent to the insurance company.

 

Fixing and Resubmitting Claims

When you’ve gone through any of these steps and have an answer to fixing the claim, follow Steps 1-3 under “Resubmitting Claims” on our Support Page to update BreezyNotes and resubmit the claim.
