Pro Tips: Preview Financials Without Making Changes
Sometimes it’s nice to do a dry run before committing to the real thing–especially when you are managing billing.
With the help of one little checkbox, it’s possible to preview invoices, manage a collections report and process ERAs without affecting clients’ live data!
The “Without Update” checkbox can be found in three places in BreezyNotes EHR:
Invoicing
Using “Without Update” to preview invoices.
When you download an invoice in BreezyNotes EHR, the system counts it as a billing attempt. That way, you can track how many times you have billed a client (or their insurance).
But sometimes you want to preview the month’s invoices without updating that count. To do this, follow the normal steps to download the invoice. But before you click “Download Selected Statements”, check the “Without Update” box. The invoices will download as normal, but they will not be counted as a billing attempt.
Electronic Remittance Advice (Insurance Payments)
Using “Without Update” to preview an ERA.
BreezyNotes EHR makes it easy to record payments from insurance companies by allowing you to upload Electronic Remittance Advice (ERAs) into the system. You can learn how to use ERAs to record insurance payments in just a few clicks on our support page.
If you want to preview an ERA without committing any of the advice to your system, make sure the “Without Update” box is checked before processing it. This will take you through the same process as processing live, but without changing your clients’ accounts.
Collections Report
Using “Without Update” to export clients’ aging balances.
BreezyNotes EHR allows you to mark clients with aging balances as “In Collections.” This flags their profile in BreezyNotes and puts a collections notice on any invoices you create.
The same report can be used to generate a collections spreadsheet so you can more easily manage and manipulate the data. If you want to export the spreadsheet without putting clients in collections, then, check the “Without Update” box and click “Export Selected as CSV”.
